You have two quotes open side by side and they are a thousand dollars apart. Both say three hours. Both say edited images. Neither one tells you why the numbers are different, and the person who asked you to pick one wants an answer today.<\/p>\n

Event photography packages are not built from a shared list, so two quotes can use the same words and mean completely different things. Below are the seven items a quote should state on its own, without you having to send a follow up email, plus the lines that quietly cost you after the invoice is paid.<\/p>\n<\/div>\n

Four things show up in almost every proposal you will receive. A number of hours. One photographer. Edited digital files. An online gallery.<\/p>\n

Those four are not where the money goes. The difference between the cheap quote and the expensive one is almost always sitting in the words around them, and in the questions neither quote bothered to answer.<\/p>\n<\/div>\n

1. Coverage Time, and What Happens When the Program Runs Long<\/h2>\n<\/div>\n

Ask what happens at hour four.<\/p>\n

Programs run long. The panel goes over, the awards start twenty minutes late, and the part everybody actually wants photographed is the part that got pushed. A quote should say whether extra time is billed, at what rate, and whether the photographer is free to stay at all.<\/p>\n

A day built like that does not end when the agenda says it ends. If your run of show has more than two moving parts, treat the stated hours as a starting point and get the overtime rate in writing before you sign.<\/p>\n

2. Finished Files, and Nothing Half Done<\/h2>\n<\/div>\n

Some quotes promise every image from the day. That sounds generous until the folder arrives and you are the one deciding which frames are usable.<\/p>\n

We do not deliver raw or unedited files under any arrangement, ever. Raw files are unfinished work. The color is wrong, the exposure is not set, and the person who ends up publishing them is you, with your organization\u2019s name attached. What a quote should say is that you receive finished, edited, ready to use images, and that somebody culled the misfires before you ever saw them.<\/p>\n<\/div>\n

3. The Count Tells You Less Than the Coverage Does<\/h2>\n<\/div>\n

Most of our event galleries include forty or more finished images. Between January and May of 2026 we delivered 759 finished images across thirteen galleries for the Central Square BID, which is a real range across real events rather than a promise on a page.<\/p>\n

A number on its own means very little. Three hundred frames from one corner of the room are worth less than forty that cover the welcome, the program, the room, and the people who made it happen. Ask what gets covered, not how many.<\/p>\n<\/div>\n

4. Turnaround Belongs in the Quote, Not the Conversation<\/h2>\n<\/div>\n

Most of our galleries land within a week, and faster is possible when we plan for it before the event.<\/p>\n

The four to eight week number you will find all over the internet comes from wedding photography, where nobody is publishing anything on Monday. If your recap email goes out three days after the event and the gallery arrives in six weeks, the photos were not late, they were useless. Work backward from the date you have to publish, then put that date in the quote.<\/p>\n<\/div>\n

5. Usage Rights Decide What the Photos Are Worth Next Year<\/h2>\n<\/div>\n

This is the one almost nobody writes down, and it matters more than the price.<\/p>\n

Under US copyright law, the photographer owns the copyright from the moment the shutter fires unless a contract says otherwise, which the U.S. Copyright Office explains for photographers here<\/a>. So what you are buying is not the photographs. You are buying permission to use them, and the size of that permission is set by whoever wrote the quote.<\/p>\n

Ours is short. You can use the images for anything your organization does, for as long as you want. Annual report, grant application, website, press request, newsletter, social, a slide in next year\u2019s board deck. The one thing you cannot do is sell them or license them to somebody else. If a quote in front of you does not say something this plain, ask for it in a sentence before you sign, because the version you find out about later is always the narrow one.<\/p>\n<\/div>\n

A quote that says \u201ca photographer\u201d is not the same as a quote that names one.<\/p>\n

Find out who is arriving, whether a second person is included or billed separately, and who does the editing afterward. It sounds like a small thing until the third event, when you are explaining your programs from scratch to somebody new.<\/p>\n

We started with Margaret Fuller Neighborhood House at Port Pride Day, then the turkey drives, then the gala, then a second Port Pride Day with video added. Same two people every time, which is why the fourth one needed almost no briefing.<\/p>\n
