Your event was Thursday night. The thank you email is supposed to go out Monday morning. You email the photographer to ask when the gallery will be ready, and the answer comes back: four to six weeks.<\/p>\n

That is usually the moment somebody realizes nobody asked about this before the contract was signed. Event photography turnaround time is one of the last things organizations check and one of the first things that goes wrong, because a gallery that arrives after you needed it cannot do the job you bought it for.<\/p>\n

Here is what is actually normal for an organizational event, why the number you keep hearing comes from an industry that has nothing to do with yours, and what to ask before you sign anything.<\/p>\n<\/div>\n

What Event Photography Turnaround Time Looks Like for an Organization<\/h2>\n<\/div>\n

For a nonprofit, civic, or business event, a week is reasonable and it should be the number you plan around. Most of our galleries are delivered within one week or sooner. A two hour community program is usually faster than that. A full day conference running across three rooms takes longer, and so does anything where the images need heavier work before they can be used.<\/p>\n

That range is not generous. It is just what the job actually requires when the person editing is the same person who was in the room.<\/p>\n<\/div>\n

The Four to Six Week Number Comes From Weddings<\/h2>\n<\/div>\n

Search this question and almost everything you find is written for a couple planning a wedding. The wedding industry generally quotes four to six weeks, and sometimes longer in the busy season, and there are real reasons for it.<\/p>\n

A wedding photographer may come home with several thousand frames from one day. There is often an album to design. There is heavy retouching on a small number of hero images. And in June and September they are stacked up behind five other couples who all got married the same month.<\/p>\n

Your annual meeting is not that job. Neither is your program celebration, your grand opening, or your community day. The volume is different, the editing is different, and what you need the pictures to do is completely different. A couple is building a keepsake. You are trying to get a recap out while people still remember being there.<\/p>\n

So when you see four to six weeks quoted as the standard, understand where that number came from before you accept it as yours.<\/p>\n<\/div>\n

6 Things That Actually Slow a Gallery Down<\/h2>\n<\/div>\n

These are the real variables. If a photographer quotes you a long turnaround, one of these is usually the reason, and it is fair to ask which one.<\/p>\n

Coverage length.<\/strong> Four hours produces more to sort through than ninety minutes. That is straightforward.<\/p>\n

More than one location.<\/strong> A program that moves from a building to a park to a reception is three shoots in one booking, and each one has its own light to correct.<\/p>\n

Video in the same job.<\/strong> Video and photo do not finish at the same speed. If both are part of the booking, ask for two separate delivery dates instead of one, or the photos will end up waiting on the film.<\/p>\n

More than one photographer.<\/strong> Two shooters means two sets of files that have to be matched so the gallery looks like one event and not two.<\/p>\n

Outsourced editing.<\/strong> Some photographers send files to an outside editor. That can be fine, but it adds a handoff and it puts you in somebody else\u2019s queue that you cannot see.<\/p>\n

Where you sit in the line.<\/strong> Fall is the busiest season for organizational events in Greater Boston. Ask what else is on the calendar the week after yours.<\/p>\n<\/div>\n

This is the part most organizations skip, and it changes the whole conversation.<\/p>\n

Do not ask when the photos will be ready. Ask yourself what has to go out, and when, and then tell the photographer that date.<\/p>\n

Fundraising and donor communications people already know the follow up window is short. Bloomerang and most nonprofit fundraising sources put the post event thank you inside 24 to 48 hours<\/a>. Your recap newsletter probably goes out that week. Your social posts are worth the most in the first few days. The board packet may have a date attached to it.<\/p>\n

None of those deadlines care about an editing queue. So bring them to the table before you book, and say them out loud. A photographer who knows the newsletter goes out Wednesday will work differently than one who was told to deliver whenever it is done.<\/p>\n<\/div>\n

Five questions. Put them in the email.<\/p>\n

  1. What is your standard delivery time for an event this length, and have you hit it for the last three?<\/li>\n
  2. Do you edit in house or send files out?<\/li>\n
  3. If we need a small set faster than the full gallery, can you do that, and what does it cost?<\/li>\n
  4. If we book photo and video together, are those two delivery dates or one?<\/li>\n
  5. What would make you miss the date, and how would we hear about it?<\/li>\n<\/ol>\n

    That last one matters more than the rest. Anyone can promise a date. What you want to know is what happens when something goes sideways and whether you will find out from them or from the empty spot in your newsletter.<\/p>\n<\/div>\n

    Turnaround is not only the photographer\u2019s problem. A gallery moves faster when the person who booked it does four things.<\/p>\n

    Send the run of show before the day, not the morning of. Give the photographer one point of contact instead of four people with opinions. Flag the handful of names and moments that absolutely have to be in the gallery. And tell them what the photos are for, because a set headed for a grant report gets handled differently than a set headed for Instagram.<\/p>\n

    Do those and a week is easy. Skip them and the delay is coming from your side, not theirs.<\/p>\n<\/div>\n

    An event is a lot of work for one night. The photographs are how that night keeps earning, in the recap, in the annual report, in the grant application, in the case you make to somebody who was not there.<\/p>\n

    That only works if they arrive while the moment is still live. So ask about the date before you sign, not after.<\/p>\n<\/div>\n
