We have walked into a gala with no shot list, no arrival time that made sense, and no name for the one person in the building who did not want to be photographed. All three were supposed to reach us beforehand. None of them did. We worked around all three, and the pictures would still have been better if we had known.<\/p>\n

This gala photography checklist is the nine things worth sending ahead. Most of it is forwarding something you already wrote.<\/p>\n<\/div>\n

1. Give Your Gala Photographer an Arrival Time, Not a Start Time<\/h2>\n<\/div>\n

We were once told to arrive when the event started, so we did. By the time the gear was set, guests were seated and the tables were gone. The centerpieces, the place settings, the signage, the whole room that somebody spent a month arranging, all of that only exists in the twenty minutes before the doors open.<\/p>\n

Give us an arrival time separate from the start time. An hour before doors is usually right.<\/p>\n<\/div>\n

The clearest brief we have ever been given did not come from a gala. Before Port Pride Day, Margaret Fuller Neighborhood House told us the photographs were going to their sponsors, and that the vendors and the volunteers needed to be covered. The day existed to raise money, so the pictures had a job.<\/p>\n

That one sentence changed what we shot. We were not recording a day, we were building something the organization could put in front of the people funding it.<\/p>\n

Compare that to a gala where the only direction we received was a director telling us what she wanted inside the frame. Useful, but not the same thing. A photograph headed for a grant attachment is a different photograph than one headed for next year\u2019s invitation. One needs the program moment and the people it served, the same way the photos a nonprofit needs for its annual report<\/a> do. The other needs open space around the subject for text.<\/p>\n

Tell us the destinations, and tell us if any of them have a deadline attached.<\/p>\n<\/div>\n

3. Who Should Not Be Photographed at Your Fundraiser<\/h2>\n<\/div>\n

We were supposed to receive a name and a photograph of a staff member who could not appear in any image. It never came. We knew from experience that there is usually at least one person in that position, so we asked when we arrived, and somebody walked us over to her.<\/p>\n

We told her directly that she would not be in a single frame. She relaxed, and she was warm with us the rest of the night.<\/p>\n

Send the name ahead if you can, and send something we can recognize them by. A name alone does not help in a room of three hundred people. A table number does. The National Council of Nonprofits<\/a> makes the same point about donor recognition, noting that some supporters ask to remain anonymous and are unhappy to find themselves named publicly. The same is true of faces.<\/p>\n<\/div>\n

4. Award Night Photography Depends on a Planned Handoff<\/h2>\n<\/div>\n

Award moments are fast and crowded. The plaque changes hands, everybody claps, and the recipient is back at their table before there is a clean frame of them holding it.<\/p>\n

We ended up pulling each honoree aside individually after they came off stage. That worked, but it worked because we chased it. If somebody from your team walks the recipient over, or if the program leaves ten seconds for it, the photograph is better and the honoree gets to keep it.<\/p>\n

Tell us also whether awards are going to one person or a group. A single recipient at a podium and five people accepting together are two different problems, and we light them differently.<\/p>\n<\/div>\n

5. Decide Who Stands With the Honoree Before the Room Empties<\/h2>\n<\/div>\n

Alongside the individual shot, decide in advance who belongs in the frame with each recipient. The executive director. The board chair. The staff member who nominated them. The family who came to watch.<\/p>\n

Those pairings are only possible while everyone is still in the building. Sorting one out during the reception takes a minute. Sorting it out once people have gone home is not possible at all, and the request usually arrives well after that point.<\/p>\n<\/div>\n

6. Send the Venue, Because Gala Photography in a Dark Room Is Planned Early<\/h2>\n<\/div>\n

The Black Biz Ball at the Foundry in Cambridge was close to dark, and the light that was there came through purple. We shot it on lenses built for low light, then delivered the entire set in black and white, because the color in that room was never going to serve the pictures. They loved them.<\/p>\n

That worked because we knew what we were walking into. Send us the venue early. Tell us if there is a stage wash, a screen between speakers, or a point in the evening when the house lights drop. That decides what comes in the case instead of what we improvise on arrival.<\/p>\n<\/div>\n

7. Tell Your Event Photographer Where We Can Stand<\/h2>\n<\/div>\n

We work from further back than we used to. Longer lenses mean we are not in the aisle next to somebody\u2019s table while they are trying to listen, and the pictures come out better because nobody in the room is watching the photographer.<\/p>\n

That only works when we know the rules before the program starts. Tell us whether we can be at the front during speeches, whether there is a spot set aside for us, and whether anything is off limits. Working that out mid program means being in somebody\u2019s way for the first twenty minutes of it.<\/p>\n<\/div>\n

The printed program tells guests what is happening. The run of show tells us when, and those are rarely the same document.<\/p>\n

If the honoree speaks at 7:40 and we are across the room, that photograph does not exist. There is no second take at a gala, which is also why coverage length changes the cost<\/a> more than anything else on a quote.<\/p>\n<\/div>\n

Pick somebody who is not running the event, tell us what they are wearing, and tell them we exist.<\/p>\n

There is a version of this night where we spend the reception in conversation with people who know us, because we are from here and the room is full of familiar faces. We have lost table shots that way. One point of contact keeps us moving through the plan instead of through the room.<\/p>\n<\/div>\n

Nobody hosting a gala needs a magazine cover. They need pictures of what actually happened, and the ones that get used the most are usually the plainest. The honoree with the award in their hands. The full room. The volunteer of eleven years, listening. Everything on this gala photography checklist is pointed at getting those.<\/p>\n

Images arrive within a week of the event unless we agree on something different beforehand. If you need them faster than that, say so before the night rather than after it, because it changes how the evening is staffed.<\/p>\n
