I understand why. You have a budget to plan against and you need a number. But the honest answer is that there is no single number, and any photographer who gives you one before asking questions is guessing.<\/p>\n

This is the biggest one. Most of the events we cover run three to four hours, which is the typical shape of a gala, a fundraiser, or a community program. A full day is a different job with different physical demands and a lot more images to work through afterward.<\/p>\n

When we photographed Sweet Soul Evening<\/a>, the Margaret Fuller Neighborhood House<\/a> annual gala at CambridgeSide, the event was built as a tasting style evening rather than a sit-down dinner. Guests moved. There was live entertainment and dancing. That shape changes how you cover it. You are not parked in front of a head table waiting for speeches. You are working the whole room as it moves.<\/p>\n

That is true of most fundraisers and nonprofit events<\/a> we cover, the real moments are rarely happening where you expect them.<\/p>\n

We offer both, and when we cover an event together we usually split it. One of us runs photo, the other runs video. That is two people instead of one, and video adds editing time after the event that photography does not.<\/p>\n

We have done this across community events, city collaborations, and program days. If you want a recap video alongside your gallery, plan for it in advance. It is not something to decide on the day.<\/p>\n<\/div>\n

Turnaround varies by event and by urgency, and it is a real cost factor, not a preference.<\/p>\n

Photos for a single social post are a different ask than photos meant to carry a grant report, a website refresh, and a year of newsletters. If we know the images need to work in an annual report, we shoot differently. We make sure there are wide establishing frames, clean images of leadership, and moments that hold up in print, not just on a phone screen.<\/p>\n

Getting your whole team in the same building is the hard part. Once that has happened, it makes sense to get more out of the day than event coverage alone.<\/p>\n

The most common addition is a headshot session<\/a> running alongside the event. We set up in a side room, people come through in short scheduled slots, and everyone leaves with a current photo. It takes real planning. Slots have to be scheduled so the session does not run into the program, and the setup needs a room with enough space and access before the event starts.<\/p>\n

It adds time and setup to the day, so it belongs in the quote from the beginning rather than as a request on the morning of.<\/p>\n<\/div>\n

We work candid. We stay away from flash.<\/p>\n

That is a real choice, not a shortcut. A flash going off in someone\u2019s face changes the moment you were trying to capture. People straighten up. The room turns and looks. The thing that was actually happening stops happening.<\/p>\n

To shoot that way well, we work with two cameras and fast lenses that handle low light and separate the subject from the background. It is a more demanding way to cover an event, and it is the reason our photos of a fundraiser look like the fundraiser rather than a series of posed groups.<\/p>\n
