The worst time to realize you are missing a photograph is when the annual report is already being designed.<\/p>\n

We learned that pretty early in our nonprofit work.<\/p>\n

In late 2025, we photographed a CITI Team turkey giveaway being held at Cambridge Community Center<\/a>. We were there to document what was happening that day. Volunteers moving food. Families coming through the gym. People talking, working, and handing out turkeys.<\/p>\n

Photographs from that day were later used in Cambridge Community Center\u2019s annual impact report. That assignment also became the beginning of an ongoing photography relationship with the organization.<\/p>\n

It changed how we thought about nonprofit annual report photos.<\/p>\n

The report may be assembled at the end of the year.<\/p>\n

The photographs cannot be.<\/p>\n

By the time someone starts laying out the pages, most of the programs, people, and moments they need to show have already happened.<\/p>\n

The question is whether anyone photographed them while they were happening.<\/p>\n

At minimum, an annual report photo library should show the work, the people behind it, the people it reaches, and the moments that marked the year.<\/p>\n<\/div>\n

An annual report asks an organization to look backward.<\/p>\n

The camera cannot.<\/p>\n

If a summer program ended in August and nobody photographed it, a December deadline cannot bring it back. The same goes for a workshop, community program, volunteer day, new initiative, or a space before it changed.<\/p>\n

You can schedule a staff portrait later.<\/p>\n

You cannot recreate a real moment later and expect it to mean the same thing.<\/p>\n

That does not mean a photographer needs to be at everything your organization does.<\/p>\n<\/div>\n

The better question is:<\/p>\n

Which parts of this year would be difficult to explain if we had no photograph of them?<\/strong><\/p>\n

Those are the things worth planning for before the calendar moves on.<\/p>\n<\/div>\n

Photograph the Work Between the Events<\/h2>\n<\/div>\n

Big events are easy to remember because they have a date attached to them.<\/p>\n

The everyday work is easier to miss.<\/p>\n

For a youth basketball program, the championship matters. So does the coaching, the competition, the kids waiting on the bench, families watching, and everything that happened before somebody lifted a trophy.<\/p>\n

For an arts program, the final performance matters. So does creating, practicing, learning, and working together before anyone steps onstage.<\/p>\n

The same applies to food distribution, education, mentoring, community services, workshops, outreach, and other nonprofit programs.<\/p>\n

A report should be able to show more than what the organization celebrated.<\/p>\n

It should show what the organization actually did.<\/strong><\/p>\n

That means photographing programs while they are active, not trying to rebuild the year from the handful of major events that happened to have a photographer there.<\/p>\n<\/div>\n

Annual reports have numbers.<\/p>\n

Photographs give those numbers faces.<\/p>\n

Staff members, volunteers, program leaders, participants, community partners, leadership, and the people an organization works with are all part of the record.<\/p>\n

That does not mean everybody needs a formal portrait.<\/p>\n

Sometimes a staff member working alongside a participant tells us more than a photograph of that person looking at the camera.<\/p>\n

Other times, a clean leadership or staff portrait<\/a> is exactly what the report needs.<\/p>\n

A useful collection includes both.<\/p>\n

The point is to look beyond the program itself and notice who is making it happen.<\/strong><\/p>\n<\/div>\n

None of this means events should disappear from the annual report.<\/p>\n

They are part of the year too.<\/p>\n

An awards ceremony may recognize someone whose work mattered to the organization. A fundraiser may bring supporters into the same room. A public announcement can mark the beginning of something new. A graduation, anniversary, community celebration, or major milestone may become part of the organization\u2019s history.<\/p>\n

Those photographs belong.<\/p>\n

The problem comes when they are all<\/strong> the organization has.<\/p>\n

If every photograph is from a podium, stage, gala, or award presentation, the annual report can show what the organization celebrated without showing much of what happened between those celebrations.<\/p>\n

A Good Photograph Can Still Be the Wrong Shape<\/h2>\n<\/div>\n

This is something we think about differently once we know photographs may end up in a report.<\/p>\n

A designer might need a horizontal photograph across two pages.<\/p>\n

Another image may need to fit inside a narrow vertical column.<\/p>\n

The cover may need room for a title.<\/p>\n

A photograph beside a statistic may need open space on one side.<\/p>\n

If every frame is photographed tightly around the subject in the same orientation, a strong gallery can still become frustrating when someone starts designing with it.<\/p>\n

So we photograph variety.<\/p>\n

Tighter frames and wider ones.<\/p>\n

Horizontal and vertical.<\/p>\n

People looking toward different parts of the frame.<\/p>\n

Scenes with enough room around the subject to place text when it makes sense.<\/p>\n

Details that can break up pages filled with larger photographs.<\/p>\n

A photograph can be good on its own and still be difficult to use in a layout.<\/p>\n

Knowing where the images may eventually go changes how we make them.<\/p>\n<\/div><\/div>\n<\/p><\/div>\n<\/p><\/div>\n<\/div>\n<\/div>\n

A strong photograph is not very useful to an annual report if the organization cannot publish it.<\/p>\n

That becomes especially important around youth programs, sensitive services, private spaces, and people who should not be photographed.<\/p>\n

The organization should know its own release and privacy process before coverage begins.<\/p>\n

This is much easier to solve before the camera comes out than months later when someone wants to place an image into the report.<\/p>\n<\/div>\n

This is where our work with Cambridge Community Center has changed the most.<\/p>\n

The relationship did not stop with one event.<\/p>\n

Since then, we have photographed youth programs, awards, community gatherings, performances, organizational milestones, and the people around that work.<\/p>\n

Then it will read:<\/p>\n

That is a very different approach from waiting until the annual report is due and asking:<\/p>\n

What pictures do we have?<\/strong><\/p>\n

By that point, the better question should be:<\/p>\n

What pictures do we need from the library we have already been building?<\/strong><\/p>\n

Before an annual or impact report is due, I would want an organization to be able to find:<\/p>\n
